Executive Assistant to Executive Leadership Team

Principal Responsibilities:

The Executive Assistant will provide administrative support to executive officers at Compass Therapeutics.  This position will require excellent judgment, and  thorough knowledge of company operations, policies and procedures.  The incumbent will handle details of a highly confidential and critical nature.  The incumbent may be asked to deliver under tight deadlines and to demonstrate agility and creative solution-finding and navigate through ambiguity, in a highly productive, exciting and dynamic environment.  Position responsibilities include, but are not limited to:

  • Collect and prepare information for use in discussions/meetings of executive staff and outside individuals. Interact with and prepare presentation materials for internal and external stakeholders, such as Compass leaders, academic and industry partners, vendors, investors, potential collaborators, and the board of directors. 
  • Provide administrative support for executive leaders, including calendar management and travel arrangements and proactively troubleshooting travel conflicts and issues.  Open purchase orders, track business expenses, prepare expense reports, create and retain critical business documents. 
  • Prioritize diverse tasks and activities in the support of multiple Compass leaders and projects.  Exercise strong judgment and  implement creative and effective methods and techniques for obtaining solutions.  Design and improve work processes to ensure administrative business is conducted as efficiently as possible.
  • Draft and share important business documents.  Demonstrate excellent communication skills, written and oral; model clarity, tact, and diplomacy in interactions with internal and external stakeholders at all levels.
  • Plan and coordinate all logistics for various types of internal and external events such as small group meetings, all-company meetings, executive dinners, advisory boards, office parties and large conferences. 
  • Demonstrate calm demeanor, individual leadership, and positive attitude; engage in collaborative working relationships across the organization.

Preferred Qualifications:

  • At least 4-6 years of experience in an administrative role with at least 2 years’ supporting executive-level leaders
  • Experience working in a scientific organization such as a biotechnology or pharmaceutical company highly preferred
  • Bachelor’s degree (or equivalent experience)
  • Strong attention to detail with the ability to multi-task and handle multiple responsibilities simultaneously.  Excellent organizational skills and an ability to prioritize effectively to deliver results within reasonably established timelines
  • Must be capable of understanding priorities and making responsible decisions with limited information; accomplishes tasks independently, has strong personal awareness and ability to collaborate and build rapport.
  • Strong customer focus, organizational/project management skills, can troubleshoot issues and anticipate needs and potential obstacles.
  • Proficient in Microsoft Office Suite (WORD, Excel, PowerPoint), database software management, Adobe Acrobat required.  Knowledge of with Net Suite, Expensify, Google Docs preferred.  Ability to embrace and adapt to new systems and technology in order to ensure efficient office operations.
